5 Do’s & Dont’s for an event at an experiential museum

LMK Events planned an incredible event “Magic Hour with VSCO” at the Arte Museum after the Wedding Portrait Photographers International (WPPi) Convention in Las Vegas in March 2025. Experiential museums can provide a creative and immersive backdrop for events but very detailed planning from the guest perspective makes all the difference. Here are our tips on how we made the event a success!

  1. DO Re-route the museum: When we walked thru the museum for a site visit, we knew if the entire museum was open, the feeling of community and togetherness can get lost, especially as guests are arriving at different times. We re-routed the museum by having guests enjoy an interactive experience together (custom drawings projected onto a large screen), then they were brought up to the second floor with one exhibit and our event space. In our event space we had a live dj (shoutout DJ Lanz!), food and immaculate vibes. After the event was over, they could explore the rest of the first floor. We re-routed by having directional staff and escalators and doors we re-routed. It was an excellent flow and really wow’ed them.

  2. DO NOT do traditional event branding: The immersive screens at Arte Museum are way too cool to add in company step & repeats and foam core signs. See what capabilities the museum has for branding the screens. For our event we showcased moving photographs by some of the creators of the company’s platform and also did custom projections within the main space. This felt clean, cool and as if it lived within the museum.

  3. DO Have plenty of directional staff: For directions to restrooms, entrance, and the rest of the exhibits. It’s so helpful especially large museums to have friendly staff directing guests on where to go before, during and after the event!

  4. DO Not let guests uber their own way to the event: Motorcoach transportation for customer events is around $1,200 for a few hour minimum. This is money well-spent getting guests to and from the event with ease. It provides a 5 star experience and when conventions have so many competing events this ensures attendance and a great time to be had by all.

  5. DO create a focal bar: We LOVE a large bar at an event. It’s more than an anchor point of the room and a wow-moment. It provides a space for togetherness and conversation. A place for people to meet. A focal point with purpose. It also is efficient for back bar staff to restock in 1 main area versus satellite bars spread out around the room.
