What’s in my event bag?

Showing up to an event without supplies is like showing up to work without your laptop. Be prepared for anything that can come up. Having things on-hand can save a huge amount of time versus having to go out and get something. One client recently said “Wow, you really thought of everything haven’t you!?”

Yes, I have! And I’m happy to share with you too!

  1. Tape measure: Center aisle, egress, etc. I also have a measuring wheel for site visits.

  2. General tools (allen wrench, screwdrivers, etc): I’ve had a chair delivered where a leg was on backward, needed to assemble a Client’s umbrella stand last-minute, the list goes on.

  3. First aid kit: Goes without saying what you would need this for! But one thing to keep in mind is even if you’re having an event at a venue and think they’ll have a first aid kit or a paramedic on-site, oftentimes for something as simple as a band-aid the venue (particularly hotels) need to fill out a report to make sure you weren’t hurt by the hotel. This is obviously a huge hassle.

  4. Card stock, paper cutter, frames: This does vary based on type of event. For Conferences there seem to be more needs for this type of thing vs a wedding so use your best judgement.

  5. Office supplies: Post-its, tape, staples, paperclips, scissors: From printing out speeches, to labeling materials needed by room, these all come in handy.

  6. Spare phone & speaker: I have an extra iPhone I use as a company spare phone with pre-downloaded playlists on Spotify and Apple music. I find it’s easier to have control of the music with my own device. Even if just used in the staff office, it keeps the good vibes!

  7. Fishing line: Disco ball, acrylic hanging frame, you name it. One of those things you hopefully don’t need to use (unless you are DIY’ing it) but if you do - you’re glad you have it. There is really no substitute.

  8. Zip-ties: I’ve used these to keep decorative beach balls from flying, keeping cables together, and more.

  9. Dongles: My favorite has a few ports for a hard line, USB, HDMI, etc. From connecting a printer to presenting.

  10. Mom-things: From extra bottles of water, snacks, and stain remover to sunscreen. Imagine a few staff or attendees are your children and may need something from you. I don’t mean this in an offensive way, but being in charge of an event comes with these duties! This varies based on location (I bring mosquito wipes for tropical climates for example) but asking yourself this question helps jog your planning for anticipating something someone may need.
